Program Branding
- Workhuman creates a recognition brand that reinforces the client’s corporate brand and core values, including:
- Program Name / Logo
- Award Names
- Images (home/landing page, redemption page, background, awards; images may be provided by client or designed by the Workhuman Design team)
- User interface colors (navigation bar, links, buttons, boxes, background) (optional)
- Client provides to Workhuman:

Site Text
- Standard site and email text is provided in Workhuman-supported languages1
- Up to 3 channels available for client-specific text. Examples of possible client specific text include: Program Guidelines, Recognition Tips, and an executive quote (optional)
- Client has the option to provide custom text (including translations) for program site channels.
Program-generated Emails
Recognition Programs include a wide range of standard emails to communicate important program information to employees at key points throughout recognition workflows. These email communications include branded email templates with standard, best-practice email copy, available in all Workhuman-supported languages1. A selection of these emails is configured during implementation based on client-specific program set up and functionality.

Engagement Emails & In-Product Messages
Engagement emails & In-Product Messages are automatically triggered and sent to users based on their behavior on the Web Site. These communications run in the background and are smart, personalized nudges that meet users when and where they need support. These communications fall into the following categories:
- Program Onboarding – offering helpful tips and guidance to new joiners throughout their recognition journey
- Program Re-engagement – nudging lapsed users back into the program and encouraging participation
- Program Retention – regular touchpoints to help users discover and use more features over time that are triggered by action (or inaction), motivates people to stay engaged
- Award Balance Reminders – proactive communication to ensure users don’t forget to spend their balance, helps minimize the amount of unused awards
- Big Moment Celebrations – boosts engagement throughout the year during widely celebrated holidays like Employee Appreciation Day and World Gratitude Day
Recognition Program Awards
Award Reasons
- Award Reasons are client specific indicators why each award is being granted and is selected by the nominator during the nomination process.
- Award reasons typically align with a client’s corporate values.
- A number of reporting capabilities are available for analyzing program activity by Award Reason.
- The Client will specify the desired Award Reasons during program implementation, including providing translations for program languages.
Award Levels (Non-Cash)
- Awards are defined as points-based.
- Points are defined as $0.05 USD each (20 points = $1 USD). Alternative options are $0.01 and $0.10 per point
- Points can be denominated in the following alternative currencies: Euro, British Pound, Canadian Dollar, and Australian Dollar.
- Each award defined within a program includes a specific monetary value along with a unique, client specified, name.
- The program default settings include 5 points-based awards designated at best practice levels: 750, 2,500, 5,000, 10,000, 20,000 points.
- Note: For Midmarket clients, the default award levels are 550, 1100, 2200, 5500
- Points are adjusted for standard of living in each country.
Award Eligibility – Nominate and Receive
- For each award level, client specifies nomination and receipt eligibility as:
- Peer-to-Peer (all receive, all give). This is the default setting for all awards.
- Manager-to-Employee (all receive, managers give).
- Custom award nomination eligibility groups (e.g., HR Manager role, other custom roles, employee attributes).
- Custom award receipt eligibility groups (e.g., Custom roles, employee attributes)
Award Notifications
- Award notifications are delivered to recipients digitally (i.e., by email and via program website).
- Recipients, Managers and Nominators can generate, save, and/or print PDF versions of awards.
Award Delay
- Client may specify a period of delay (e.g., 24 hours) between award creation and digital delivery to award recipients.
- Setting is configurable by award type.
Automated Manager Notifications
- Manager notifications can be emailed at multiple award stages to the award nominator’s manager or HR Manager (in a program with recipient-based approval hierarchy) or award recipient’s manager or HR Manager (in a program with a nominator-based approval hierarchy).
- Client to specify during implementation which, if any, notifications to use:
- At Nomination
- At Final Approval
- At Disapproval
Award Advisor
- A utility available for nominators that provides guidance about which award level to select for the recipient(s).
- The nominator is prompted with a set of questions to answer, and algorithms score the answers to provide a recommended award.
- Client can opt to have the Award advisor optional or required.
- Client specific questions and answer text (including translations) are provided during program implementation.
Recognition Advisor
- Recognition Advisor is an intuitive, interactive AI tool that offers real-time coaching to employees as they write award messages.
- Available on desktop and mobile app
- Available in all supported languages
Nomination Delegation
- This optional feature provides authorized employees with the capability to designate colleagues who can place nominations on their behalf.
Volume Award Uploads
- A utility available for issuing a bulk set of awards, via a standard award upload template file, in an efficient manner.
Award Approvals
Award Approval Levels:
- Each award level will have a client-specified number of approval levels (e.g., 0, 1, 2)
- The default approval levels for the standard awards are: no approval required for 750; 1 approver for 2,500 and 5,000-point award levels; and 2 approvers for 10,000 and 20,000 point award levels.
- Note: For Midmarket clients, the default award levels are 550, 1100, 2200, 5500
Approval Hierarchy:
Client selects either nominator or recipient-based approval hierarchy structure:
- Approval hierarchy applies program-wide (i.e., to all award levels)
- Automatic Approval Escalation logic exists to ensure that award nominees/recipients do not approve their own awards; automatically triggered when the final award approver is the award recipient (in either a single recipient or team award) to add the award recipient’s manager as the final approver.
- Implied Approver functionality allows for automatic handling of approvals when an approver is in multiple steps in the approval hierarchy – either as the nominator or a lower level approver.
- Nominator-based approvals – all approvals follow the award nominator’s reporting hierarchy, (i.e., the award nominator’s manager approves) or custom approval routing based on nominator’s data
- First level approver is the nominator’s immediate manager, second level approver is the first approver’s manager.
- Alternative Option: Recipient-based approvals – all approvals follow the award recipient’s reporting hierarchy, (i.e., award recipient’s manager approves) or custom approval routing based on recipient’s data
- First level approver is recipient’s immediate manager, second level approver is first approver’s manager.
My Approvals
- All managers with award approval responsibilities have My Approvals view via Dashboard
- Managers can approve, disapprove, or modify nominations.
Modify Award Level
- Award approvers may modify award level of pending awards.
- Approver may only change to award level for which recipient is eligible; approval process will restart
- Nominations can only be modified once.
Approval Reminder Emails
- A reminder email sent to award approvers after 4 days of not acting on pending nominations. Subsequent reminders sent every 2 days until acted upon.
Approval Delegation
- This optional feature provides authorized employees with the capability to designate colleagues who can approve nominations on their behalf.
Approval Admin
- Program Administrators can manage program awards to:
- See pending award approvals
- Email reminders to managers to act on pending approvals
- Push a pending approval to the next approver
- Approve or disapprove an award on a manager’s behalf
Years of Service
Timelines
- Automated manager communications to provide message to recipient
- Automated colleague communication to provide stories and congratulations to recipient
- Service years to recognize and value of each anniversary award are client configurable
- Timelines Award to recipient includes:
- Award and Service Anniversary details
- Message from company executive
- User provided custom content from Manager and Colleagues
- Recipient’s recognition award history
- Award is printable by manager and recipient
Reward Availability
- There are two reward options for US and Canada:
- Plateau with curated merchandise selection per anniversary level used to satisfy requirement for tax benefit OR
- Gift card/Merchandise/Experiences option
Plateau Reward Options
- US and Canada Only
- 5th year anniversary, and every 5 years thereafter; Clients may select additional anniversary milestones to celebrate
- Customizable values per plateau
- 50-200 merchandise choices provided per anniversary level
- Clients may elect to issue service awards for additional anniversary milestones with or without economic value
Global
Languages
- Client selects program languages from Workhuman-supported language options.1
- Standard text for program website, award and other emails, and Mobile applications in Workhuman-supported languages.
Standard of Living Index (SOLI) Award Adjustment
- Global awards are automatically adjusted to Workhuman-provided award values based on Workhuman’s proprietary standard of living index to provide fair and equitable awards globally
- Client may optionally customize the index upon request
Reporting
Clients receive access to generate a set of standard reports that provide valuable data about program activity:
Configurable Report Parameters and Report Exports
- Clients may configure the report parameters available for Reports
- Clients may configure the report exports for Reports to include a wide range of data in these exports
Award Activity Report
- Enables program administrators to view all approved, disapproved, and pending award nominations by multiple criteria across the entire organization
- Administrators can change award privacy setting to Private, removing from the program’s Social features.
- Exportable to Excel
Award Activity – Manager Report
- Enables managers to see award activity for individuals who report directly to them
- Exportable to Excel
Human Resources Manager Report
- Enables HR managers to view all award activity for the individuals within the organizations they support.
- Exportable to Excel
Modification Report
- Enables program administrators to view all awards that have been modified by award approvers
- Exportable to Excel
Recognition Intelligence
- A self-service reporting tool that provides comprehensive utilization insights of your recognition program and benchmarking across Workhuman customers, recognition leaders, and recommended best practices
- Multiple dashboards with ability to filter and obtain a comprehensive view of recognition activity in an organization
- Reporting structure specified by client
- Executive Insights, available within Recognition Intelligence, offer infographic-style reports that deliver meaningful insights into an organization’s recognition activity. These reports are designed specifically for Executives and HR Business Partners
Workhuman iQ
- Workhuman iQ is comprised of three types of features: AI Assistant, Company-based insights, and Team-based insights.
- AI Assistant is a chat interface that provides general HR and recognition best practices based on user questions.
- Company-based insights include the Skills, DEI, and Retention features that provide insight on the company culture to Program Managers and HR Leaders.
- Team-based insights include the Skills, Team Grid, and Patterns features that provide insight on the team engagement to People Leaders.
iQ Snapshots
- IQ Snapshots are personalized, bite-sized insights from Workhuman iQ that employees will see right in their recognition and approval flows
My Reports
- Users can access, view and download reports created by an Author in this feature.
- Report and dashboard viewership is based on permission set in Admin Hub – Reporting.
Admin Hub
Admin Hub - Program and Award Management
- Self-service functionality that gives Program Managers the ability to manage to day-to-day operational tasks for maintaining and overseeing their recognition program.
Admin Hub - Reporting
- Self-service functionality that allows one (1) designated Author to customize reports and dashboards.
- Author can manage reports and designate viewer permissions in order to allow other individuals within the organization to access and view reports and dashboards.
Abuse Detection
- Automated notification to program managers if nomination volume thresholds are exceeded.
Security / User Authentication
User Authentication
- Each client can designate one of the following three authentication methods.
- Standard Single Sign-On (SSO) is supported via SAML 2.0. Supports both SP-Initiated and IdP-Initiated flows.
- Legacy support for SAML 1.1 is available for clients with older identity infrastructure.
- Users are authenticated using a client-provided User ID and an employee-designated password. (Client can configure a password policy that best aligns with their own policy requirements)
Data Integration
Program Administrator
- Program administrators, as designated by the client, have authorization to access restricted reporting functionality including Award Activity Reporting, Approval Administration, and Executive Insight Report Assignment.
Data Exchange
- Client provides program user data per Client Data File Specification.
Invoicing
- A single, consolidated, invoice with all transaction details, to be provided monthly or as otherwise required under an order form.
- Delivery can be via email or Secured FTP transfer.
- Each invoice has its own designated billing currency. Available options include: USD, EUR, CAD, GBP, and AUD
- With prior review and approval from Workhuman Finance, multi-entity invoices may be available
Awards Detail File
- File details are provided in the Client Data File Specification
- Client can use to interface with their payroll and/or any other HR, Finance, or other systems
- The Awards Detail file is provided to client via email or secure FTP at client-defined frequency (e.g., bi-weekly, monthly).
Rewards
Users can redeem for the following types of rewards using their award balance, where available:
- Merchandise
- Available in approximately 75 countries
- Gift Cards
- Available in approximately 140 countries
- Experiences
- Available in approximately 175 countries via an “Experiences” link in Store navigation
- Not available in all supported languages
- Hotels, flights, activities, and car rentals can be booked globally where available, as indicated on the Experiences site.
Award Redemption
- Employees redeem awards via the Store using a computer or mobile device
- For all reward types, where supported, if the user does not have enough award balance for an item , and if available on their Web Site, they may be able to pay the remaining amount (up to $1,000) with a personal credit card
- The Store was designed using e-commerce best practices, and is full of consumer-grade features like:
- Ability to create and maintain a wish list
- A “shop your balance” auto-filter
- Culturally relevant shopping collections, curated at the country level
- Intuitive search and filtering on price, category, brand
- High-quality product images and descriptions
Reward Stories
- Users with redemption capabilities on the Store can create stories about items that they redeem for in the Store
- Users can share privately via email or choose to post on the newsfeed
- If social sharing is enabled, users can share Reward Stories on LinkedIn and/or Microsoft Viva Engage
- If a user does not create a Reward Story at redemption, we will send a notification email letting them know they can create a Reward Story.
- Users will be able to create, edit, delete Reward Stories
- Users will be able to upload media to Reward Stories
- Rewards Stories is available on mobile
- Reward Stories is supported on standard web browsers
Social Recognition
Award News Feed
- The Award News Feed displays a continuous stream of Work Circle and/or company-wide recognition activity on program website on the ‘For You’ Tab.
- Displays a continuous stream company-wide recognition activity
- Display includes awards created through nomination process via the client site or mobile, volume award uploads, and service awards if applicable.
- Enabled for all employees and award types; client may elect to disable for some employees and/or individual award types
- Viewers of the Award News Feed can share public recognition information with other active program participants
- Viewer of the Award News Feed can add congratulations and comments to awards in the feed.
Our Culture Feed
- Displays a continuous stream company-wide recognition activity that can be filtered by award reason
Reward Stories Feed
- Displays a continuous stream company-wide reward stories
Award Privacy Levels
- Users of the recognition program control award privacy levels and related publication of award. Privacy levels include:
- Shared – display award title, reason, message on News Feed
- Restricted – display award title and reason on News Feed but do not display award message
- Private – do not display award on News Feed
- Nominations are defaulted as “Shared” for all award types not defined as Restricted or Private.
- Nominators may change privacy setting to Restricted or Private during nomination process
- Award approvers may increase (but not decrease) the award privacy level of any award during the approval process
- Award recipients may increase (but not decrease) the award privacy for any award received.
- Award recipients can set that all their recognition and/or Anniversary awards are always Private.
- Program Administrators can change Shared and Restricted awards to Private
My Activity
Provides access for users to view their recognition program activity and manage aspects of their program. Users would only have visibility into those components of the Dashboard they are authorized for.
- My Activity Feed – Personal award feed of awards given and received and Team participation.
- Awards – details of awards received.
- Nominations – details of nominations made.
My Activity Feed
- This portion of the My Activity feed presents an employee’s Recognition Activity display of awards visible to all employees.
- Employees can view their award history.
- Employees also have visibility to their recognition network – connections with all other employee that they have given and received recognition awards.
- Enabled for all employees; client may elect to disable for all.
Side Navigation Menu
My Team
- Available for all Managers. Clients can restrict access to specified groups of employees.
- Clients can enable managers the ability to grant access to their My Team pages.
Actionable Insights
- Actionable Insights provides managers real-time, in-context data to improve recognition within their own team, promote company values, understand who their critical team members are, identify under recognized employees, and advance company culture.
- Recognition Leadership – data on manager’s recognition performance
- Recognition Patterns – analysis of a manager’s team’s recognition
- Influencers – information on a manager’s team members recognition from outside the team
- Allies – information about those outside a manager’s team that are most recognized by the team
- Outliers – highlights any team members whose recognition is not aligned with performance ratings (only available when performance rating information is provided)
Performance Network
- Manager recognition analysis tool that graphically displays the flow and volume of recognition activity between employees
- This is available from the program landing page if My Team is not activated.
Team View
- Provides managers with insight into and reporting on the recognition activity of their direct and indirect reports in an Infographic approach.
- Recognition Activity available to be exported to Excel in .csv format
Recognition Summary Report
- Printable report from My Team of team member’s awards received activity.
- Designed to support performance discussions and reviews.
Talent Maps
- Graphical presentations of the recognition activity for a manager’s team related to a series of impact measurements, including:
- Top Performers
- Top Influencers
- Performance Alignment (requires job performance data for each employee to be provided via the employee data file)
- Performance Network
Approvals
- Via the side navigation bar managers can view details of, and ability to act on, pending awards awaiting approval by the user.

On the top right of the homepage users can navigate to the profile area and settings in this area they can access:

Work circle
- Users can view and edit their work circle
- Enabled for all employees with access to the Award News Feed
- Automatically creates for each user a group of relevant employees that are included in the Award News Feed and Employee Recognition Digest.
- Automatically refreshed/updated based on new award activity and changes to organizational relationships
- Users can add or remove users from their Work Circle
Delegates
- Under the profile drop down area, users can authorize others to act on behalf of the user.
Orders
- Under the profile drop down area, users can view details of redemptions placed.
Settings
- Users can personalize their account with a profile image
- Users can adjust their communications preferences
- Users can see more information about the mobile app
- Set award privacy default.

Mobile Application
Users can download the mobile app via the profile dropdown under Program Information and ‘Download the App’.
Workhuman Apple Mobile Application
- Available for iPhone, iOS 13+
- Enabled for all employees
- Users via the Apple app can nominate, approve, receive, and redeem awards. Approvers can modify awards if applicable. Approvals available via smartwatches.
- For Timelines clients, colleagues can enter stories pre-anniversary
- Employees can view their award history and track redeemed e-certificates
- Social features of Mobile include Award News Feed with capability to add Congratulations
- Available for all Workhuman supported languages1. Language must also be deployed on the client’s site.
- Compatible for Mobile Device Management with Intune, Maas360, WorkspaceOne and app config.
Workhuman Android Mobile Application
- Available for Android based mobile devices, version 6.0+
- Enabled for all employees
- Users via the Android App can nominate, approve, receive, and redeem awards. Approvers can modify awards if applicable. Approvals available via smartwatches.
- For Timelines clients, colleagues can enter stories pre-anniversary
- Employees can view their award history and track redeemed e-certificates
- Social features of the Android App include Award News Feed with capability to add Congratulations
- Available in all Workhuman supported languages1. Language must also be deployed on the client’s site.
- Compatible for Mobile Device Management with Intune, Maas360, WorkspaceOne and app config.
Mobile Web Application (MWA)
- Available for smart phones running Android 6.0+ or iOS13+
- Enabled for all employees
- Users can nominate, approve, receive, and redeem awards via MWA. Approvers can modify awards if applicable.
- For Timelines clients, colleagues can enter stories pre-anniversary
- Employees can view their award history and track redeemed e-certificates
- Social features of MWA include Award News Feed with capability to add congratulations
- Available for all Workhuman supported languages1. Language must also be deployed on the client’s site.
Media Recognition
Provide for inclusion of a photo or video when placing a manager message or colleague story to a Timelines award
- Enabled for all employees
- Configurable on or off by award type
- Video and photos can be added when adding stories to a recipient’s Timeline via the site
- Maximum size of 40MB
Video playback and viewing photos is available for viewing (based on eligibility to access each feature below) via:
- My Team
- Award News Feed
- Employee Profile
- All Workhuman mobile platforms
- Online reports
Recipient’s award email includes a thumbnail of the video. Users need to be logged into the site or mobile application to view video.
Optional Product Features
We will enable optional product features based on the customer's preference.
Inclusion Advisor
- Assist with operationalizing inclusion with AI-driven in-the-moment coaching tool.
- Available as part of the nomination flow, for users who set their language to English or UK English.
- Inclusion Advisor checks for subtleties in recognition messages, flagging words that may be perceived as bias.
- Real-time coaching messages are designed by subject matter experts that are specific, educating, and actionable.
Social Sharing
- Integrated throughout the Culture Hub and nomination flow, the Social Sharing integration enables users to share recognition they have received and Reward Stories to their networks and connections on LinkedIn and/or Microsoft Viva Engage
- Social Sharing for recognition can be initiated from the For You feed, Our Culture tab, My Activity feed, and Award Details lightbox
- Social Sharing for Reward Stories can be initiated post Reward Story creation, from the My Orders page, and Reward Stories feed
- Post editor features default and editable modules for post message, post visibility, theme, color, and profile image as well as client branding elements: client logo, Program Name hashtag, Award Reasons, Award Reason icon
Recognition / Outlook Integration
- From an internal company Outlook email message, a recognition nomination can be initiated to all email participants that are eligible for recognition with our add-in called “Workhuman for Outlook”.
Microsoft Teams Integration
The Workhuman platform enables clients to integrate their recognition program with their corporate Microsoft Teams environment.
- Award notification: Upon delivery of an award within the Workhuman platform, the recipient will also receive a Microsoft Teams bot notification with award summary and a link to the full award detail in the Cloud platform.
- Nominating: A Teams user can create a nomination within a Teams chat, Teams channel, or Teams meeting, using eligible program participants from the chat/channel as default nominees.
- Homepage. An interactive homepage showcases the Awards Feed and highlight reel of Service Milestones, Life Events, and Community Celebrations.
- AI-powered Tools: Leverage embedded, AI-powered tools like Award Advisor and Inclusion Advisor to enable employees to send their coworkers meaningful, impactful awards and messages that align with company values.
Slack Integration
The Workhuman platform enables clients to integrate recognition activity with their Slack application.
- Award notification: Upon delivery of an award within the Workhuman platform, the recipient will also receive a Slack notification with award summary and a link to the full award detail in the Cloud platform.
- Manager Approvals. A user who must approve awards will receive pending approval notifications in Slack. Within Slack the approver can review, approve, adjust, or disapprove each award requiring their attention.
3rd party Recognition integration
- iLink support of launching recognition upon reaching a point of success in a 3rd party application.

Celebration Awards Bundle – Service Milestones, Life Events, Community Celebrations, Automated Welcome Awards
- Provides ability to recognize the special events in your employees’ lives, at work and outside of work
- Peers are automatically invited to write congratulations, using Workhuman’s Work Circle technology
- Recipients can have a gallery of up to 100 media files associated with their award
- Delivered awards are included in the social recognition aspects of the platform, respecting privacy settings
- Awards can be combined with each other and other types of awards received when redeeming
- If this bundle is enabled and 2 or more of Service Milestones, Life Events and Community Celebrations is enabled, a Celebrations Tab will be present on the homepage and serves as a landing page to easily navigate to these products
